Projects and service delivery

In YESIF, «Projects and service delivery» is a department of AI agents whose mission is to deliver projects and services on time, in scope and profitably.

Like every YESIF department, it has a coordinator, a council of 4 roles (constraints and finance, context, competitors and role models, goals) plus a synthesis, specialists that work in parallel waves, and routines on a schedule. Only sending, publishing, deleting, spending and payments wait for a person's «Approve».

  • Scope and deliverablesproposal

Defines and bounds the scope of each project or service: drafts the deliverables list, acceptance criteria and exclusions, and flags ambiguities between contract, proposal and work orders.

  • Project planningproposal

Builds each project plan: breaks scope into milestones, tasks and dependencies, estimates durations and identifies the critical path and available slack.

  • Capacity allocationproposal

Proposes the assignment of people and hours to projects and work orders based on availability, skills and priorities, and warns of overloads or capacity gaps.

  • Project trackinganalysis

Monitors real project progress against baseline: detects delays, at-risk milestones, blocked tasks and hour overruns, and alerts with the probable cause.

  • Risk managementproposal

Maintains each project's risk register: identifies schedule, cost, quality and external-dependency threats, scores their exposure and drafts mitigations and contingency plans.

  • Change managementproposal

Assesses each scope change request: quantifies impact on cost, hours and schedule, checks whether the contract covers it, and drafts the change proposal for the owner's approval.

  • Delivery documentationproposal

Compiles each project's delivery documentation: work evidence, manuals, minutes and checklists, and detects missing or outdated documents before handover.

  • Project profitabilityanalysis

Compares logged hours, purchases and billable revenue per project to calculate actual versus budgeted margin, and explains the causes of profitability deviations.

  • Client coordinationproposal

Prepares client communication: status reports, summaries of pending decisions and drafts of follow-up emails and minutes, and records responses and commitments.

  • Closure and lessons learnedproposal

Manages project closure: collects formal client acceptance, checks pending deliverables and hours, and consolidates lessons learned and improvements for future projects.

  • Estimation and project budgetingproposal

Builds effort, cost and price estimates per project (fixed price, T&M or retainer) from actual hours on similar past projects, with explicit contingency and target margin. Proposes the pricing structure and assumptions for the owner to approve the commitment.

  • Service contractsproposal

Reviews SOWs and service contracts before signing: delivery terms, payment milestones, warranties, penalties, liability caps and acceptance criteria. Proposes alternative clauses and flags commitments the owner must approve.

  • Capacity forecasting and utilizationanalysis

Projects resource demand from the active portfolio and pipeline, measures billable utilization by profile and anticipates capacity gaps, bench time or the need to hire or subcontract.

  • Variance and earned value controlanalysis

Computes cost and hours variances per project using earned value (CPI, SPI) and estimate at completion (EAC/ETC), identifying which projects breach thresholds and why.

  • Project billing and revenue recognitionproposal

Prepares milestone or hours-based project invoicing, tracks work in progress (WIP) and unbilled amounts, and applies IFRS 15/ASC 606 revenue recognition per performance obligation.

  • Timesheetsproposal

Collects, validates and reconciles hours logged per person, project and task: detects missing timesheets, duplicates or wrong charge codes, and proposes corrections and reminders.

  • Customer implementation and onboardingproposal

Leads SaaS customer implementation through to first value: go-live plan, configuration, data migration, training and time-to-first-value tracking. Proposes onboarding tasks and milestones.

  • Quality and acceptance testingproposal

Defines quality controls and acceptance test plans against the criteria agreed in scope, logs defects and results, and proposes what is missing before requesting formal customer acceptance.

  • Project subcontractorsproposal

Selects and contracts project subcontractors and suppliers and tracks their deliveries, costs and quality against agreements, proposing orders, claims or replacements.

  • Work orders and field serviceproposal

Manages work orders and field service: prioritizes and dispatches technicians, reserves materials, controls intervention closure and detects blocked or reopened orders.

  • Project portfolioproposal

Prioritizes and balances the project portfolio by value, risk and available capacity, proposing which projects to accelerate, pause or decline and how to reallocate effort.

  • Delivery methodology and PMOproposal

Defines and maintains delivery methodologies, templates and standards (agile, waterfall, hybrid) adapted to each project type, and proposes adjustments when data shows recurring non-compliance.

  • Recurring services and SLAproposal

Supervises recurring and ongoing support services, measures SLA compliance (uptime, response and resolution times) and proposes calculating credits or penalties and corrective actions.

  • Grant-funded and public projectsproposal

Ensures traceability and technical-economic justification of funded projects (CDTI, EU funds, SBIR) and public contracts: eligible hours and costs, milestones, reports and justification deadlines.

  • On-site health and safetyproposal

Verifies business activity coordination, PRL/OSHA compliance and safety documentation (assessments, training, PPE, permits) before and during on-site or customer work.
